These booking terms should be read together with the final confirmed itinerary, invoice, and any supplier- or permit-specific conditions issued for the trip.

1. Booking Requests and Confirmation

A trip is not confirmed until Nyiragongo Expedition has issued written confirmation and received the payment amount required for the booking stage concerned.

Quotations are based on availability, current supplier rates, permit fees, taxes, and logistics assumptions at the time of issue and may change before final confirmation.

2. Deposits, Balance Payments, and Permits

A deposit is normally required to start securing services. Where gorilla permits, chimp permits, internal flights, or high-demand lodges are involved, higher upfront payment may be required immediately.

As a default working policy, Nyiragongo Expedition may require a 30% trip deposit to confirm standard arrangements, with full permit costs and any special supplier prepayments due as soon as those items are secured.

Unless a different deadline is stated in writing, the remaining balance is due no later than 45 days before arrival. For late bookings, full payment may be required at confirmation.

3. Prices, Inclusions, and Exclusions

Trip prices generally cover only the services specifically listed in the final confirmed itinerary and invoice.

Unless clearly stated otherwise, international flights, some visas, travel insurance, optional activities, personal purchases, alcoholic beverages, tips, excess baggage, and certain emergency costs are excluded.

4. Changes by the Client

Any requested change to dates, traveler numbers, route structure, permits, accommodation level, or transport arrangements must be made in writing.

Client-requested changes may trigger amendment charges, fresh supplier costs, permit penalties, or repricing based on the revised trip structure.

5. Cancellation and Refunds

Cancellations must be submitted in writing and are effective from the date received by Nyiragongo Expedition.

As a draft cancellation model: more than 70 days before arrival, 20% of total trip cost may be retained; 60 to 69 days before arrival, up to 50% may be retained; fewer than 60 days before arrival, up to 100% may be retained where services are already committed.

Government permits and any other specifically non-refundable supplier costs are non-refundable once purchased unless the relevant supplier or authority refunds them.

6. Changes by Nyiragongo Expedition

We reserve the right to make reasonable itinerary changes where required by weather, road conditions, conservation rules, safety concerns, supplier failure, park authority decisions, operational limitations, or events beyond our control.

Where a major service becomes unavailable, we will aim to provide a comparable alternative or explain the cost difference in writing.

7. Passports, Visas, Vaccinations, and Entry Rules

Each traveler is responsible for holding a valid passport, obtaining required visas, meeting vaccination or health-entry rules, and carrying all documents required for the countries and activities on the itinerary.

Any guidance provided by Nyiragongo Expedition is practical support only and does not replace official government or medical advice.

8. Health, Fitness, and Travel Insurance

Travelers must assess whether they are medically and physically fit for the booked activities, including trekking, hiking, remote travel, wildlife viewing, or high-altitude conditions where relevant.

Comprehensive travel insurance, including medical treatment, evacuation, trip cancellation, baggage, and activity coverage, is strongly recommended and may be mandatory for certain trips.

9. Responsibility, Risk, and Limitation of Liability

Adventure travel in East Africa can involve risks including wildlife movement, remote roads, weather disruption, border delays, illness, injury, and third-party transport or supplier failure.

Nyiragongo Expedition acts as organizer and coordinator of the confirmed itinerary, but is not liable for losses, delays, injuries, or expenses caused by third-party providers or events outside its reasonable control, except where liability cannot legally be excluded.

10. Supplier and Government Rules

Airlines, lodges, transport operators, park authorities, and permit agencies may apply their own terms, baggage rules, cancellation policies, conservation restrictions, and safety instructions.

Travelers agree to comply with those rules as part of their trip participation.

11. Force Majeure

Nyiragongo Expedition is not responsible for failure or delay caused by events beyond reasonable control, including natural disasters, severe weather, disease outbreaks, political instability, government action, road closures, flight disruption, strikes, or similar force majeure events.

Where possible, we will work with clients and suppliers to recover value or rearrange services, but refunds remain subject to what third parties and authorities actually release.

12. Complaints

If a traveler has a service complaint during the trip, the matter should be raised immediately with the guide, driver, host property, or Nyiragongo Expedition operations contact so that a practical solution can be attempted on the ground.

Post-travel complaints should be submitted in writing within a reasonable time after the end of the trip.

13. Governing Law and Contact

Unless otherwise agreed in writing, these booking terms are intended to be interpreted in line with the laws applicable to the company’s place of operation and the confirmed contract documentation issued to the client.
